High Performance Computing Expansion Completed

ITS is thrilled to announce that this summer's High Performance Computing Expansion is complete! After many months of hard work, detailed planning, and close collaboration with UMass, our research computing and storage have officially moved out of the Fuller Labs Data Center and are now co-located at the Massachusetts Green High Performance Computer Center (MGHPCC) in Holyoke, Massachusetts. This infrastructure move places us alongside other leading R1 universities, including Harvard, MIT, BU, Tufts, Northeastern, and UMass. It gives us the improved performance and expanded capacity we need to grow and opens new opportunities to collaborate on research initiatives, all while lowering costs. We thank the faculty and researchers using these services for their patience during the transition.

Classroom and Computer Lab Updates

Microsoft365 Storage Management Update and Action Needed

This email was sent to employees and students on August 5, 2025 by Vijay Menta and LeeAnn LeClerc.

Dear WPI Employees and Students,

We are making good progress toward optimal data storage! Since the Microsoft365 Storage Management announcement in April, many community members have taken advantage of the resources offered by Information Technology Services to decrease WPI total storage used by approximately 70 TB. Let鈥檚 keep the momentum going by taking the actions below to close in on the target.

Status:
- Total Storage: 340 TB in use; we aim to operate within the new 200 TB threshold.
- Email: Storage has decreased by 41%.
- OneDrive: Storage has decreased by 4.5 %.
- Quota: 60% of staff, 46% of faculty, and 90% of students are already operating within the new limits; thank you!

Action Needed:
- August Goal for Faculty and Students: Please review OneDrive and Outlook to manage your data within the new limits. The self-service resources below will help you assess and manage data at your own pace.
- October Goal for Staff: As the first group ITS focused on, many staff have already been addressing storage by using ITS guidance and attending training. We are asking you to continue leading the way! If you still have more than 20 GB stored in Outlook email and/or OneDrive files, please reduce to 20 GB or less in each area by October 30, 2025. Being about 20% below quota ensures that when the new limits are applied to your account, you will not have immediate quota warnings.
- These resources are available:
  - Inbox Cleanup Journey and OneDrive Cleanup Companion are especially helpful for those just getting started.
  - Frequently Asked Questions are continually updated.
  - Self-service instructions are included in the FAQ.
  - The Data Storage Management form may be submitted for questions, feedback, individual help requests, or department consultation requests.
  - Live training will be offered in September, once classes are underway. OneDrive and Outlook recorded video training is available now.

Users whose accounts are over the limit will continue to be notified by ITS. Guidelines and instructions for moving and managing data will be provided. Outlook email and OneDrive file access will continue without disruption in the meantime. As a reminder, the new quotas are below. For academic, research, and business data that must be retained beyond those limits, ITS will work with individuals and departments to pursue other storage options.

Students	up to 15 GB	up to 15 GB

Storage limits will be applied to accounts as they meet the new thresholds. ITS will apply the new limits to accounts using 80% or less of the above amounts. Account holders will receive an email notification with additional details when this occurs. Outlook email and OneDrive file access will not be disrupted.

Network Maintenance August 11-14

ITS is performing critical network maintenance in many campus buildings in advance of the new academic year.

Impact: Between 6:00-7:00 AM on the mornings of August 11, 12, 13, and 14, a set of buildings will lose network connectivity while maintenance is performed.

WPI Celebrates the 30th Anniversary of the Connections Pre-Orientation Program

Connections Class of 2027 - 30th Anniversary Celebration

In 1993, Worcester Polytechnic Institute (WPI) welcomed members of the incoming class to campus during the Excellence in Math, Science, and Engineering (EMSEP) Pre-Orientation Program, which was designed to help students of color adjust to WPI鈥檚 campus and persist through college. As the University evolved, the EMSEP Pre-Orientation Program became known as the Connections Pre-Orientation Program. Although the name of the program changed over time, the purpose and core values remained the same. Thirty plus years later, this legacy still endures.

On Saturday, August 12, 2023, the Office of Diversity, Inclusion, and Multicultural Education (ODIME) welcomed members of the Class of 2027 to campus for the Connections Pre-Orientation Program. Dubbed Connections 2027, this year鈥檚 cohort brought together 71 undergraduate scholars and 13 Program Ambassadors (PAs) over a one-week experience to welcome and onboard a new Connections cohort as well as to celebrate the Connections 30th Anniversary at WPI.

Maya Ellis '23 '24 served as the 2023 Alumni Speaker and offered advice, wisdom, and retrospective on her WPI experiences and how they were shaped by the Connections Pre-Orientation Program, Electrical and Computer Engineering courses, National Society of Black Engineers (NSBE), Black Student Union, and the LSAMP Scholar Program.

"NSBE gave me the confidence to seek help and grow academically and professionally. I resonated with the mission of NSBE so much and wanted to give back to what supported me. I became [Chapter] President at the end of my sophomore year and stayed until I graduated. This led to invaluable leadership and networking skills that opened the door up for so many different opportunities. I urge you to find your equivalent of this community during your time whether that be through NSBE, SASE, or SHPE, to name a few."

2023 Connections Pre-Orientation Program - 30th Anniversary - PA Training

2023 Connections Pre-Orientation Program - 30th Anniversary - Warren Conference Center

Connections is designed to assist incoming undergraduate students who are underrepresented in STEM or at WPI and identify as a first-generation college student; Black, Indigenous, People of Color (BIPOC); African American, Latino/a/x American, Asian American, Native American (ALANA); and/or Lesbian, Gay, Bisexual, Trans, Queer, Intersex, Asexual, Aromantic, Agender and Pansexual (LGBTQIAP+) make a smooth transition from high school to college.

ODIME continued our collaborative partnership with Undergraduate Studies by offering twenty-one (21) scholars the opportunity to take a free online summer course during the E2-term as part of the Connections Academic Immersion. This model allowed Connections 2027 scholars to truly get a snapshot of the WPI experience in anticipation for their first A-Term at the University. In our second year of offering this added experience, the goal continues to be adequately preparing students for the academic transition into WPI to allow them to begin developing and employing effective organization and time management strategies.

The week-long Connections Pre-Orientation Program (August 12-19) kicked off with a Campus Resource Fair, Welcome Session, Alumni Speaker, and Parent/Family Informational Session and Q&A. 鈥淵ou are more than capable of succeeding here鈥our stories, identities, cultures, and experiences matter and if no one has told you before, you are already enough,鈥?lt;/strong> was a message Arnold Lane, Jr., Director of Multicultural Education and Community Engagement delivered to students and their families using an additional note centered around perseverance.

"The Connections program is a process, trust it, and take full advantage of it. Use what you have gained this week as a foundation going into your first year at WPI. It [might be] scary to put yourself out there, but it can be worth it in the end."

The Connections scholars also made their return to the Warren Conference Center where they participated in a series of teambuilding activities, ropes courses, and a BBQ. Throughout the week, scholars were encouraged to meet new people daily and fully immerse themselves in this new dynamic environment.

"The Connections program was a unique and important time for me. From understanding the campus and academic life to games and social events, it erased many of the fears and uncertainties that plagued my mind. The ice breakers and group activities cemented a friend group for me, and the sharing of each other's vulnerabilities and experiences has made a deeper connection with peers than I ever thought I would have. Connections was for me, a foundation that I stand upon now."

ODIME continued our collaborative partnership with the Office of Government and Community Relations where former Director of Community Relations Katie Bilotta provided the Connections scholars with a private tour of the City of Worcester highlighting key neighbors, restaurants, shopping centers, the cultural district, and other go-to spots and city sites.

The ODIME team and campus partners were also intentional about setting up team builders and networking opportunities with WPI faculty, staff, and our international scholars. Notable highlights of the week included Karaoke Night on Friday night and a Saturday day-trip to School Yaad with the Office of International Student Life and WPI鈥檚 newest international scholars.

The Connections Pre-Orientation Program could not occur without the hard work and dedication of the Program Ambassadors (PA). PAs are valued members of the ODIME team who are trained to provide peer-to-peer leadership and support for students who participate in the Connections experience. They serve as peer educators who engage our newest WPI scholars in various aspects of their first year at WPI as they transition into college. They also serve as positive role models within the community, aid in student support initiatives, encourage personal growth in their peers, and provide lasting experiences to ensure student success. Alesia LeSane, Kalvin Cummings, Aidan Nunes '23 '24, and Naomi Treto '24 facilitated a robust PA Training experience the week prior to the arrival of the Connections scholars.

ODIME concluded the pre-orientation program with the Class of 2027 Closing Dinner and Connections 30th Anniversary Celebration. President Grace Wang offered Welcome Remarks to the Class of 2027 Connections scholars encouraging students to continue building on the strong connections they built during the week and to make additional connections throughout New Student Orientation. President Wang also encouraged students to build strong connections with their faculty and to always seek help whenever needed. President Wang concluded her remarks by highlighting the importance of well-being and practicing self-care before congratulating ODIME on the 30th Anniversary of the Connections Pre-Orientation Program.

Former Connections scholars Jeffrey Estrada '19 and Emily Hao '19 participated in the 30th Anniversary Celebration with Estrada offering a retrospective on his WPI/Connections experience and offering words of advice for the newest cohort of Connections scholars.

Since 2004, NCSAM has been a collaborative effort between government and industry offering information to stay safer and more secure online. Co-led by the National Cyber Security Alliance (NCSA) and the Department of Homeland Security鈥檚 Cybersecurity & Infrastructure Security Agency (CISA), WPI has joined as a champion to educate our community!

The WPI Hub has a general overview of the project, and soon will have links to a detailed news item for each phase. The IT team is here to help you through each of these! As a phase nears, those impacted will be directly notified by IT regarding details. Please do not hesitate to send questions or concerns to the IT Service Desk at its@wpi.edu.

Information Technology (IT), working in conjunction with Facilities, would like to inform you of data and technology needs for the July 17th scheduled electrical shutdown.

Action Needed:

Access Data: If you need access to your data during the outage, terminal services are available.

Prepare Equipment to Prevent Damage: Individuals who are working on campus will need to unplug equipment prior to the outage, and reconnect that equipment after. IT will unplug equipment in computer labs, classrooms, and conference rooms, including A/V equipment. IT will reconnect this equipment after the outage.

Workday Student Will Help Students, Faculty, and Staff

From assisting with course scheduling to supporting registration, Workday Student is a valuable tool

Workday Student, one of three key products of WPI鈥檚 Workday computer system, will soon be rolled out to the WPI community. It involves activities associated with the offices of the Registrar, Academic Affairs, Financial Aid, Bursar, Admissions, and more.

WPI Student follows earlier rollouts of Workday for Human Resources and Finance, is currently used for functions such as hiring, benefits, payroll, procurement, budgeting, and grants management.

We recently caught up with Veronica Brandstrader, change management and training manager for IT, to learn more about Workday Student, examples of how it would be used, and its many benefits to students, faculty, and staff.

Q: What is Workday Student and why is it important?

A: It is not easy to move away from Banner (WPI鈥檚 information system), which has been in use for 30 years, and has been heavily modified to work for WPI. Workday Student was created by a co-founder of PeopleSoft, who took a fresh approach to how information systems could take advantage of recent technology. Workday Student is a relatively young tool that will continue to evolve. Also, Workday is committed to harnessing emerging developments in areas like machine learning and AI to improve its products. Workday Student is very important because it鈥檚 the tool that will be used for academic records, registration, and grading.

Q: It鈥檚 called Student, so is it just for WPI students?

A: Students, faculty, and staff will use Workday instead of Banner for tasks related to academic and student records. For any tasks that cannot currently be accommodated by Workday, there is also an effort underway to ensure those forms are electronic, centralized, and easy to find.

Q: Can you offer a few examples of how someone would use it?

A: Students will assemble schedules (College Scheduler will still be available through Workday) and register for Fall 2021 classes in April 2021. Faculty and academic advisors can view student records and easily see open courses to support advising. Faculty will view course rosters in Workday, and submit final grades, which students will then see in Workday.

Q: Mock registration ends Friday, Nov. 6. Can members of the WPI community still sign up after that date?

A: Yes! We welcome involvement at any time. Mock registration is followed by User Acceptance Testing (UAT) and training, and participants are important not only for feedback, but because they can help spread the word within the WPI community. Our goal is to ensure everyone knows how to do what they need to do, and support is available when they need to do it.
